FAQs

What is changing with the patient portal?

Stillwater Medical is upgrading to a new electronic medical record system called Epic on October 4, 2026. As part of this change, we will introduce Stillwater Medical MyChart, a new patient portal that brings your clinic and hospital information together in one place. This upgrade is designed to make managing your healthcare simpler, more connected, and more convenient.

What is MyChart?

MyChart is a secure online portal that gives you easy access to your health information and care team—all in one place. With MyChart, you can:

  • View your medications, test results, appointments, and medical history
  • Message your providers directly
  • Schedule appointments and complete pre-visit tasks from home
  • Request prescription refills
  • View and pay bills
  • Attend telehealth visits
  • Manage care for your children or family members

Why is Stillwater Medical making this change?

Stillwater Medical has partnered with Saint Francis Health System in Tulsa, OK, to share a modern electronic medical record system called “Epic”, through a program called Community Connect. This allows us to use the same advanced system as other leading healthcare organizations, improving coordination of care and giving you a more seamless experience. For patients, this means better access, better communication, and a more complete view of your health information.

What is Epic Community Connect?

Epic Community Connect allows healthcare organizations like Stillwater Medical to securely share the same electronic medical record system. This means your care teams can have a more complete picture of your health, helping improve coordination and quality of care.

What will happen to the current patient portals?

Our current hospital and clinic portals will be retired. View only access may still be available until March 31, 2027, but beginning on October 4, 2026, our current patient portals will no longer allow you to:

  • Send messages
  • Schedule appointments
  • Request refills

Stillwater Medical will continue to have access to your full medical history for your care. You can follow this link to request copies of your medical records. If you need help accessing older records, our team is here to assist you.

  • Visit summaries
  • Messages
  • Immunization records
  • Medications

What information will be available in MyChart?

Starting October 4, 2026, all new care you receive at Stillwater Medical will be available in MyChart, including:

  • Visits and provider notes
  • Test and lab results
  • Medications and diagnoses
  • Appointment details
  • Billing information

Records starting on this date and going forward will be accessible in MyChart.

Will my records from other organizations be in MyChart?

If you have received care from organizations that also use Epic your records may be available via your MyChart account.

As you become more familiar with MyChart, you’ll be able to use additional features that help you stay connected with your healthcare providers and better manage your care in one convenient place.

Care Everywhere – Your Health Record Anywhere It’s Needed: Your MyChart account allows you to securely connect your Stillwater Medical record with participating healthcare organizations through Care Everywhere. This new feature makes it easier for you and your healthcare providers to share important information, such as medications, allergies, test results, and past treatments, helping ensure more coordinated, informed care wherever you receive services.

Sharing Hub  Proxy Access: You might want to share your health information with a healthcare practitioner outside of Stillwater Medical.  Instead of physically transferring paper records from one clinic to the next, you can do this easily within MyChart’s Sharing Hub. You can also grant access to your medical information with someone who helps you manage your care and you determine how much information you want them to see.

Link Your MyChart Across Multiple Systems: By linking your MyChart account, you can view health information from participating healthcare organizations in one place. This makes it easier to keep track of your care and share important information with your healthcare providers when needed.

Will I still be able to message my doctor or schedule appointments?

Yes. MyChart makes it easier to stay connected with your care team. Please note that you’ll need to complete a visit in the new system prior to being able to access a provider in MyChart for messaging or scheduling. After your first visit, will be able to use MyChart to:

  • Message your provider
  • Schedule appointments
  • Request prescription refills

What happens to proxy access (for children or family members)?

If you currently have proxy access in the existing portal, it will need to be set up again in MyChart. This ensures privacy and security for all patients. You can do this yourself easily within MyChart’s “Sharing Hub” by clicking “Request Minor Proxy Access” on your MyChart menu.

All proxy users, even parents, will need to have a MyChart account to link to the patient.  If you currently have proxy access but the patient is no longer able to authorize a new request, please contact our team so we can assist you.
